Terms and Conditions – Legal Package Service (Vietnamese Criminal Record Certificate & other legal administrative services)

1. Scope of ServiceOur service includes:

• Application Preparation: We prepare your application package in full compliance with the latest Vietnamese regulations.

• Authority Representation: Depending on your selected service package and the legal limits on authorization, we may act on your behalf to handle parts or the entirety of the process. In other cases, we will provide guidance or coordinate to ensure your application remains on the correct procedural track.

• Step-by-Step Guidance: Instructions on document preparation, authentication, and submission procedures.

• Submission Coordination: Delivery of your application to the competent Vietnamese authority.

• Progress Updates: Regular status updates and guidance on responding to any notices or requests from the authority.

• Result Delivery Support: Arranging result delivery through approved channels (scanned copy by email; hard copy by courier upon request, courier fee applies).

2. Service Fee and Additional CostsService Fee: As stated in your quotation (exclusive of state fees and third-party charges).

Official State Fee: As set by the relevant Vietnamese authority, payable separately.

Third-Party Costs: Such as consular legalization, notarization, translation, and international shipping. These vary by provider and are paid directly to the provider or via us upon request.

Any change in official fees or third-party costs during processing will be promptly communicated.

3. Processing TimeEstimated Duration: As stated in the quotation (typically counted from the date the completed application is received by the competent authority).

Exclusions: Estimates exclude weekends, Vietnamese public holidays, postal delivery times, and force majeure events (e.g., pandemic, curfew orders, fire, storms, floods).

Variations: Actual processing time may vary due to factors beyond our control, including but not limited to: changes in government procedures, verification delays, postal/courier disruptions, or additional document requests from the authority.

4. Applicant’s ResponsibilitiesSubmit a genuine application signed directly by the applicant.

Ensure the signature is properly witnessed/authenticated strictly following our guidance.

Confirm the content, format, and number of documents at each stage before submission.

Comply with Vietnamese laws and the procedural requirements of the relevant authorities, following our professional guidance to ensure smooth result issuance.

Do not use third-party services simultaneously for the same application.

Provide complete and truthful information regarding past submissions, refusals, and any processing history.

Failure to do so may cause delays or affect the result.

Depending on severity, we may either continue processing with adjustments or unilaterally terminate the service without refund.

5. Our RoleProvide accurate, up-to-date legal and procedural guidance.

Ensure application preparation is compliant with Vietnamese regulations.

Communicate with relevant authorities on your behalf where permitted.

Promptly inform you of any changes, requests, or issues during processing.

6. LimitationsUnder Vietnamese law, we cannot guarantee exact completion dates, as final issuance is determined solely by the competent authority.

We are not liable for delays or refusals resulting from inaccurate, incomplete, or misleading information provided by the applicant, or from changes in law or procedure after service commencement.

We do not act outside the scope of Vietnamese law and professional legal ethics.

7. Payment TermsFull payment is required before service commencement unless otherwise agreed in writing.

Accepted payment methods: Visa/MasterCard, PayPal, or Vietnamese bank transfer.

An official invoice will be issued upon confirmation and payment.

8. Refund PolicyNo refund is available once the application has been lodged with the competent authority.

If cancellation occurs before submission, a partial refund may be issued after deducting costs for work already performed.

No refund will be issued if the application is refused for reasons beyond our control, including but not limited to: legal ineligibility, incorrect or false information, or non-compliance with requirements.

9. Data Protection & PrivacyAll personal data is handled in compliance with Vietnamese personal data protection laws.

Information and documents will be securely stored and used solely for delivering the agreed service.

Upon completion, documents will be destroyed unless you request retention for future services.

10. Governing LawThese Terms and Conditions are governed by the laws of Vietnam.

Any disputes shall be resolved under Vietnamese law and within the jurisdiction of the competent Vietnamese courts.
